No lead routing software is best for every team. The right choice depends on your CRM, how many ownership rules can match the same lead and whether the form should end in a booked meeting. This guide compares five tools and the native options in HubSpot and Salesforce, using what each vendor says on its own pages.
We have not run these products in a client build. Every product statement below comes from the vendor’s public page or the CRM’s help article, read on 19 October 2026 and listed under Sources. Vendor pages describe their own products, so treat the capability columns as claims to test in a demo. We did not find published prices on the pages reviewed, so none are quoted.
What to compare
Feature lists look similar. Five questions separate the products in practice.
- Which CRM does the vendor page actually name, and how deep is the integration?
- Does the tool match an inbound lead to an existing account before it distributes the lead?
- Does round-robin know when a rep is out of office or at capacity?
- Is each routing decision logged where an operator can read it?
- What happens when nobody accepts the lead?
The last question is the one most product pages leave unanswered. Acceptance timers, backup owners and an exception queue are part of the lead routing process, and a tool only runs them if someone configures them.
Comparison at a glance
| Option | CRM named by the vendor | What the vendor says it does | Typical fit |
|---|---|---|---|
| Chili Piper | Salesforce and HubSpot (comparison page); Distro page names Salesforce only | Routing and scheduling from web forms; lead-to-account matching; weighted round-robin that skips reps who are out of office | Teams that want the form to route and book a meeting |
| LeanData | Salesforce | Runs as a managed package inside Salesforce; lead-to-account matching; routing on territory, round-robin, capacity and SLAs; no-code builder | Salesforce teams with complex account and territory logic |
| RevenueHero | Salesforce and HubSpot, both listed as deep integrations | Qualifies, routes and books meetings; checks for an existing account owner first; routing log shows which rules fired | Teams whose inbound path ends in a booked meeting |
| Default | Salesforce and HubSpot | Rules, queues, round-robin with availability and capacity; territories; every routing decision logged; versioned rule changes | Teams that want routing, enrichment and scheduling in one platform |
| HubSpot native | HubSpot | Workflows write owners; rotate record to owner on Sales Hub or Service Hub Professional and Enterprise | Short, linear routing paths |
| Salesforce assignment rules | Salesforce | Lead assignment rules send leads to users or queues; one active lead rule at a time | Single-field decisions such as country or one queue |
Chili Piper
Chili Piper describes itself as a routing and scheduling platform. Its comparison page lists web-form routing that qualifies a visitor, routes them and books a meeting from the website. For Salesforce it lists two-way sync, lead-to-account matching and routing on CRM data or form answers. For HubSpot it lists contact creation, routing on CRM data or form answers and meeting logging.
Its lead distribution product, Distro, describes weighted round-robin with per-rep caps, matching leads to existing accounts before distribution, and removing reps from the queue while their calendar shows them out of office. The Distro page names Salesforce as the CRM and says records from any standard or custom Salesforce object can be routed.
Limits to check. The CRM coverage differs between product pages, so ask which features apply to HubSpot. The scheduling focus suits a buyer-books-a-call process better than a rep-replies-to-the-form process. The performance figures on the Distro page come with no stated method.
LeanData
LeanData describes lead routing that runs as a managed package inside Salesforce. Its page claims fuzzy matching of inbound records to accounts, routing on territory, round-robin, capacity and SLAs, and a drag-and-drop builder for changing the workflow.
Limits to check. The routing page names Salesforce and does not mention HubSpot, so a HubSpot team should ask the vendor directly. The page does not explain how matches are decided, and its performance figures have no stated sample or method. Pricing is on a separate page that we did not use.
RevenueHero
RevenueHero positions itself as an inbound scheduling platform for enterprise teams. Its page says routing checks for an existing account owner first, then applies team or geographic rules using enriched data. It describes a balanced round-robin that distributes by meetings actually taken, adjusted for no-shows, cancellations and time away, and a routing log for each booked meeting. It lists Salesforce and HubSpot as deep integrations.
Limits to check. The product is built around booking meetings. If the first step in your process is a rep emailing the buyer, confirm which parts apply. The page does not detail field mapping or sync direction.
Default
Default describes a go-to-market platform that covers enrichment, routing and meeting scheduling. Its lead routing page lists round-robin with availability, recency and capacity, out-of-office blocks taken from connected calendars, routing across territories and segments, a log of every routing decision, and rule changes that are versioned with rollback. It names Salesforce and HubSpot for two-way sync and publishes routing templates for both CRMs.
Limits to check. It is a wider platform than a routing-only requirement needs, so confirm which modules you would pay for. The page makes broad accuracy and speed claims without a method, and it does not show prices.
HubSpot native workflows and rotation
HubSpot workflows can set an owner through the Edit record action, which HubSpot lists for Professional and Enterprise tiers of several hubs. The Rotate record to owner action rotates records between chosen users or a team and, according to HubSpot, requires Sales Hub or Service Hub Professional or Enterprise. Distribution options such as load balanced and round robin are documented for leads and tickets. The “assign to available users only” setting excludes users marked as away, and if every user is away the owner is left unassigned.
Limits to check. The action rotates between users. Territory, existing-account and conflict rules have to be built as branches around it, and nothing in the action itself checks that the chosen rep accepted the lead. HubSpot also notes that rotation handles one object at a time and the others wait and retry, which can slow the process. The separate guide to HubSpot lead routing covers the failure modes in detail.
Salesforce assignment rules
Salesforce lead assignment rules send leads to users or queues. Salesforce documents that only one rule of each type can be in effect at a time. Round-robin is possible, and Salesforce’s own help article builds it from an auto-number field, a formula field and one rule entry per user.
Limits to check. In that round-robin design the number of users sits in a formula, so adding or removing a rep means editing the formula and the rule entries. Assignment rules cover single-field decisions well. Once an existing account owner, a product specialist and a territory can all match one lead, the order of precedence belongs in Flow or a dedicated tool.
Choosing between them
| Situation | Worth shortlisting | Why |
|---|---|---|
| Salesforce, many account and territory rules | LeanData, Chili Piper Distro, Default | Vendor pages describe lead-to-account matching and territory rules inside Salesforce |
| HubSpot, simple rotation of unmatched leads | HubSpot rotation | Included on Sales Hub or Service Hub Professional and Enterprise |
| HubSpot, rules outgrow workflows | Default, RevenueHero, Chili Piper | Vendor pages list HubSpot support with availability and routing logs |
| Buyer should book a meeting from the form | Chili Piper, RevenueHero, Default | Routing and scheduling are described together |
| One field decides the owner | Salesforce assignment rules or a HubSpot workflow | No extra product needed |
Treat the shortlist as a starting point. Run each candidate against the last 50 real leads, including the awkward ones, before you sign.
What software does not decide for you
Every tool above needs the same inputs from you: the order of precedence when two rules match, the named fallback owner, the approved first message to the buyer, what counts as acceptance and who reviews exceptions each week. The ownership and escalation rules template sets those out in a copyable form.
When you need software vs when you need the process installed
Buy or build software when you have an administrator who will own the rules, a stable precedence list and a CRM the tool supports. The tool then does the matching and rotation, and your team does the governance.
Choose an installed process when the open problem is the handoff itself: nobody agrees which rule wins, leads sit with absent reps, or failures are found weeks later. Never Miss a Lead designs the ownership rules, acknowledgement and escalation path and installs them using your CRM and the tools in your stack. It does not sell routing software. See the automated lead routing system service for scope, or discuss your lead flow.

Questions buyers ask about lead routing software
What is the best lead routing software?
There is no single best product. The right choice depends on your CRM, how many ownership rules can match the same lead and whether the form should end in a booked meeting. Vendor pages describe lead-to-account matching for Salesforce at LeanData, Chili Piper and Default, so Salesforce teams with account-based routing can start a shortlist there. HubSpot teams can start with native workflows and move to a dedicated tool when territory, account and availability rules outgrow them.
Do I need lead routing software if I use HubSpot?
Not always. HubSpot workflows can write owners and, on Sales Hub or Service Hub Professional and Enterprise, rotate records between users. A dedicated tool becomes worth the cost when several routing rules can match the same lead, reps need availability checks, or you need a log of which rule chose the owner. Decide the written order of precedence first, then see which tool can run it.
Is lead routing software the same as meeting scheduling software?
Some products combine the two. Chili Piper, RevenueHero and Default all describe routing that can end in a booked meeting on the form. If your sales process starts with a call booked by the buyer, that is useful. If your process starts with a rep reply to a form, scheduling is a separate feature you may not need.
What does lead routing software cost?
The vendor pages we reviewed did not publish prices, so this guide quotes none. Ask each vendor for a quote based on your seat count and lead volume, and add implementation, administration and rule-maintenance time to the comparison.
What should I ask a vendor in a demo?
Ask what happens when two rules match, when no rule matches, when the chosen rep is out of office and when the rep never accepts the lead. Ask where the original capture time is stored and whether the routing decision is logged on the CRM record. Ask what the product does not cover.
Does software replace the lead routing process?
No. A tool runs rules. Someone still has to decide the order of precedence, name the fallback owner, approve the buyer acknowledgement and own the weekly exception review. Without those decisions the tool routes inconsistency faster.
What this means for your team
- Write the order of precedence before you open a demo.
- Ask each vendor what the tool does when nobody accepts a lead.
- Test the shortlist against recent real leads, not the vendor’s sample data.
- Name the person who owns rule changes after launch.
